New Functionality

New Trading Standards Product Safety Types

A new trading standards product safety maintenance screen has been created to support the TS inspections. This feeds a new drop down box available on the TS visits screen (EH0328FRM). Menu option Public Protection > Maintenance> Commercials > Trading Standards > Product Safety Types.

Trading Standards Product Safety Types for Commercials

You can select/add the product safety types for the commercial record that apply for that business. Any selected types listed here will be available on the visit/inspection tabbed screen to be selected/added for the action.

New Trading Standards Visit Tabbed Screen

As with all inspection screens, this runs from adding an action and should be configured against an appropriate action. Select ‘TS Visit’ from the list available in the ‘Next Screen’ field of action maintenance. There are 6 individual tab screens for this type of action. Any or all can be completed for each visit/inspection.

Search Accident

A new search screen has been added for Accidents, which allows multiple search criteria across the accident and the injured persons. The individual records can be selected from this screen, or the search results can be displayed as a list view.

Search Samples

A new search screen has been added for Samples, which allows multiple search criteria across the sample. The individual records can be selected from this screen, or the search results can be displayed as a list view.

Search Notices

A new search screen has been added for Notices, which allows multiple search criteria across the notice. The individual records can be selected from this screen, or the search results can be displayed as a list view.

Search Prosecutions

A new search screen has been added for Prosecutions, which allows multiple search criteria across the prosecution The individual records can be selected from this screen, or the search results can be displayed as a list view.

Report to List Letters produced between Dates

There is a new report to list all letters that have been produced via the system between selected date, for a selected, or all, template types.

Pest Invoices between dates

The ‘Date Paid’ field has been added to this report.

New Merge fields for the logged in user

The logged in user can now be added to any template by using the 10 new merge fields that begin with ‘USR_’.

Non-Targeted Work

Non-Targeted Work, previously abbreviated by the letters ‘NFA’ (formerly meaning Need for Action) now have the abbreviation of ‘NTW’ to avoid any confusion with the possible meaning of ‘No Further Action’.

Security for Fields

Subject to permissions, you can now add or remove security to fields by right clicking them. Previously this function only returned the merge field name, however you can now select one or multiple groups to change the permissions of the selected field by ticking the groups you want to apply the new settings to, and then clicking the appropriate button.

You can also create field level user defined help for the field.

You can also create a new merge field if one doesn’t exist already.

You can set a field as mandatory.

Constants

Like merge fields, you can now insert ‘constants’ into templates. A constant is a word or phrase or sentence or paragraph that remains the same regardless of the record it is being used with.

e.g. ‘The Food Safety Act 1990’

This could then be inserted into a template, exactly like a merge field, to substitute data at the time of production. In the example, if the legislation changed, instead of updating it in many templates, you would only need to update it the merge field maintenance screen to then ripple through every document the merge field was used in.

To create a constant, create a new merge field name (try to be consistent, it makes life easier!) and tick the ‘constant’ flag, then add the details of the text you want to display.

Un-finalise

Letters that have been set as ‘final’, and that are therefore un-editable, can now have the ‘final’ flag removed if you have permission to the security setting ‘UNFINALISE’

Export Templates

There is a new maintenance option to dump out all templates to a specified drive.

Date Calculations

Every date field in the system can calculate a date from today by using any of the following codes:

T – will set the field as today’s date

NW – will set the field as today’s date + 7 days

PW– will set the field as today’s date - 7 days

NMO – will set the date as the next Monday’s date

NTU – will set the date as the next Tuesday’s date

NWE – will set the date as the next Wednesday’s date

NTH – will set the date as the next Thursday’s date

NFR – will set the date as the next Friday’s date

NSA – will set the date as the next Saturday’s date

NSU – will set the date as the next Sunday’s date

Px – will set the date as the number of days prior to today. E.g. P4 will take off 4 days

Nx – will set the date as the number of days after today. E.g. N4 will add 4 days on

Rogue Landlords

There is a new ‘extra details’ screen for requests for service categories that will allow storage of data relating to rogue landlord reports.

Food Registration Details

In readiness for the Food Standards Agency ‘Register a Food Business’ version 4 rollout, the system has new fields available to store the centrally collected information. It is now visible from the food safety tab of a commercial record

Module Types can now be made inactive

There is now an ‘active’ indicator on module types.

New field in HHSRS

There are 3 new fields in HHSRS inspections, A new unlimited justification field and two date fields that will allow the closing of individual hazards once abated, where there is more than one hazard found per inspection.

Contacts new field

A new field has been added to contacts for date of birth, which will be used as part of the Register a Food Business process.

Housing Grants new field

A ne field has been added to housing grants permissions to allow permissions to be noted as expired or completed.

Enforcements new fields

Three new fields are available on enforcements to allow further recording of results.

Trading Standards new fields

Two new fields are available on the illicit goods tab of the trading standard visit/inspection screen.

Licence Conditions new fields

There are 4 new fields on conditions maintenance that allow you to select which licensing objective (s) are related to which conditions. These options ripple through to the conditions when they are applied to licences.

Defendant new field

There is a new field to store compensation amount.

HMOs new field

There is a new field for the number of living areas as specified on the register.

NTW new field

There is a new field for email address.

Licensing new fields

There are new fields in the main licence screen, in histories, in joint applicants, in applicants and in DPS to show the country of birth and the nationality of the person.

Workflow Types

Where the workflow type is RFS, the list of workflow actions for types is not listed by default when the screen loads to speed up the time to load the screen.

To list options now, you should use the search field and the filter button. If you want to fetch a list of all types, then you should type and asterisk in the search field and then click the filter button.

RFS Main Details Screen

Two new buttons have been added to the main details screen to allow any typed in requestor details to be quickly copied to the ‘Client’ list or be added to the case contacts screen.

Interventions on Commercial Tab Screens

A list of interventions (work items) is now available on both the Food Safety tab and the Food Standards tab.

Importing CAB records

Importing CAB record will now also populate the ‘source’ of the RFS with the code from the record, either a N (notification) or an R (referral).
