How do I add / edit document templates?
OpenProcess now has the ability to add template based documents to processes rather than simply using notepad entries. This ensures there is consistency when asking for information or if you need to print a document it can replace those present in Microsoft Word templates / traditional EDMS. Thereby further removing the need to maintain a separate EDMS.
To add a document template simply go to Set Up and select the option of the same name:
Within here are four areas:
- Templates
- Headers
- Footers
- Stylesheets
These four elements in conjunction with one another provide an amazing amount of flexibility in terms of layout and design.
Within Templates you provide it a name, the header & footer you wish to use, the particular style of the letter and of course the body.
What this means is that each and every template can have different content, a different header, a different footer and different styling. So documents generated for Council Tax can look completely different from documents generated for Waste Management if necessary.
What's more it is possible to add template fields into the document templates. For example Dear , would ensure the document has Dear John, if the customer's name was John.
The following illustrates a Document Template created to enable proof of student status to be requested from a change of address:
You will notice that this is a rich text editor and so has formatting options that can be used too. Also, within the menu (View > Source Code) you can access the HTML and thus have a huge amount of control over the formatting because you also have the ability to change CSS of each of the header/body/footer.
In order to access the Template fields, you need to click the little edit icon to the right of the word Template in the above.
So, currently, it is possible to show the Process Name, when it was started, when it is due, first name, surname, and any of the address.
