Enhancements to AI Validator Enhancements to Citizen Portal & My Account Released April 2025

Validator – Send to Back office Validated applications (Customer using APAS)

For customers using new the OneApp Connector, it is possible to configure new functionality to stop the application, until it is validated or some of the metadata is edited. In the AI Validator, click in the button “Send to Back office” and the application will be in APAS after 5 to 10 min approx.

To Configure this option, go to Agile Portal (Configurator) >> Configure Service >> Planning >> Validator >> General >> “AI Validator Simple Configuration” and enable the option “Enable Send to Back Office just Validated Applications”.

Validator – Ability to change application type

In the AI Validator, the application type is an important part of the validation process. Sometimes, applicants select an incorrect application type on submission. The AI Validator now has the ability to change application type in the 'Editable fields' section on the 'Application details' view. Additionally, a radio button with three options has been included:

  • "Just save edited information": This option should be selected when we just want to save this information in the Validator's database or if the council has enabled the "AI Planning portal connector" and the option "send to back office validated applications", and the application has not yet been sent to the back office.
  • "Reprocess considering edited information": If we select this option, we will reprocess the application with the edited information in this section (scope of the proposal and application type), and if we have given feedback on any drawing that the AI Validator has not been able to identify.
  • "Reprocess and Push to APAS considering edited information": This option is only available for customers who use APAS. It is the same as the previous option, but after analysing the application, the application is inserted into APAS. It is worth noting that if the application is already in APAS, it will create a copy. To avoid creating a new copy, a solution would be to enable the "send to back office validated applications" functionality mentioned in the previous section. If we have that option enabled, there would be two options for sending the application to APAS (using this option or following the steps in the previous section but without the reprocessing).

Validator – Reprocess an application considering feedback

The AI Validator has the ability for users to provide feedback by tagging drawing types or document types, where the AI has a given a false positive result, and in which case IEG uses the feedback to retrain our models.

A new button has been added on the top of the details screen; to reprocess an application taking into consideration the feedback users have provided with the corrected result.

 

Validator – Including GIS map in Validator Report

It is now possible to use the image generated during the validation process, showing either the cadastral layer boundary that is matching with the coordinates provided by Planning Portal, or with the real boundary if has been supplied by Planning Portal. Notice that this image is the one generated by the AI Validator, not the one provided by the Agent as part of the submission process.

Validator - Application validated – Raise feedback

Now, when a document has been tagged to provide feedback, where boundaries have previously created, these will persist and each “Tag” will have a different colour.

 

Citizen Portal – Public view > Application details – removing hyperlink to email officer

A new configuration option has been added: DISABLE_OFFICER_NAME_EMAIL, to disable the availability of the hyperlink behind an officer’s name to allow a member of the public to click and send an email.

My Account – Delete user account

A new button has been added to “My account” to delete a user account.

A pop-up will appear to confirm account deletion.

Comments reviewed nightly, where payment has been received, but confirmation has not been received

In some instances, the confirmation of a successful payment using a 3rd party integration is not received by the Citizen Portal. In this case the comment remains with a status of “needs payment” and APAS does not show the comment.

A new nightly process has been added which will review all the comments which have the above status and will automatically check that the payment has been successful and move the status to waiting for review and will appear in the notification view in APAS for review.

By default, this process will run nightly. Optionally, this can be schedule by IEG4 for a different frequency. Please submit a support ticket to request this.

Already paid functionality for comments

Alternatively, the citizen who has submitted comments can manually trigger the same process as described above by going to the ‘My Observations’ page, and clicking on the new button ‘Retry payment’

Notifications for submissions for citizens

In addition to the enhancement above, we have added the ability to send emails (based on email templates which can be configured by customers) for the milestones during the submission process:

  1. Creation of the draft
  2. Payment Successful
  3. Reviewed by the Officer
