AI Validator – Split and Undo Split
A new functionality has been introduced: 'Split' and 'Undo Split'.
From the Validator Detail view, officers can now click the pencil icon associated with a specific document to initiate the 'Split' action. This allows them to divide a document into multiple parts (pages) where appropriate. Additionally, users have the option to 'Undo Split' for documents that were previously split by the validator or an officer.
The buttons for each action have been included in the Edit Document Details view.
Split
When the user clicks the 'Do Split' button, a confirmation modal is displayed, offering two options:
- Split and keep the original document
- Split and hide the original document
Once an option is selected, the user is redirected to the Detail View, where the newly split documents are displayed.
Please note that official 'National Planning Portal' documents (Applications Forms, Summary of the attachments, Fee calculation…) and Validator Documents (Validator Report, Validator Response, GIS document…) cannot be split.
Undo Split
When the user clicks the 'Undo Split' button, a confirmation modal is displayed to confirm the action or cancel.
Upon confirmation, the user is redirected to the Details view, where the previously split documents will no longer be visible.
AI Validator – Create Read-only users
In the configuration portal, as part of version 5.4, we created the ability to create new validation users with permissions to review and update application information, without the permissions to update the configuration portal (rules).
Now in the same UI we have added a dropdown to create different roles (Validation Officer and Read-only Users).
A Validator Officer can review application details and edit application information. Whilst a Read-only User can only review application details. Read-only Users are unable to edit applications.
The user can be created in the configuration portal by an Administrator User:
AI Validator – Internal Notifications
The AI Validator now includes a new feature called 'Send Internal Notifications'. This functionality enables automatic notifications to be sent to internal individuals or teams when an application matches a specific criteria set up by the council.
Please note: before enabling any rule to send internal notifications, the corresponding template must first be created and configured.
All template types can be configured in the 'Manage Templates' section of the Configuration Portal.
Currently, there are three template types available for configuration:
- Validator Template Type 1 (Internal Notifications)
- Validator Template Type 2 (Internal Notifications)
- Validator Template Type 3 (Internal Notifications)
You can edit the template and include any of the merge fields listed in the 'Available fields' area. Please add any merge fields with two percentage signs at the beginning and end. Ensure you tick 'Active Status' to make it a live template, allowing the AI Validator to send it.
These templates act as a base for your internal notification and you will need to select one of the three to be used for each rule within the 'Internal Notifications' screen. This screen is also where you configure your rules to dictate when a notification is to be sent and to which recipient. To navigate to this screen you will need to go into the Configuration Portal and click on Configure Service >> Planning >> Validator >>Reporting >> 'Internal Notifications'.
Choose the template you want to use as your base from the 'Template type' dropdown.
Add the subject you want to have on the internal notification.
'Custom merge field to be replaced in this template' is a free text field, allowing you to add text, which is specific to this rule, to the email body (2000 characters). Please make sure you add %%CUSTOM_MERGEFIELD%% into your 3 email templates if you wish to use this field. Merge fields should not be used within this field.
Please note, the following three fields act as condition parameters:
- 'This notification will be sent under the circumstances of'
- 'When any of these conditions are met'
- 'When the application site intersects with these GIS Layers'
The rule is triggered using an AND operator (not OR). This means that if more than one of these three fields are populated, the notification will only be sent if all specified conditions in the rule are met. Therefore, you may need to replicate rules using different conditions to ensure the notifications are sent in all of the desired scenarios.
If you enable this new feature and an internal notification is sent, you will be able to view it in a new accordion section in the AI Validator, within the Application Details page, called 'Internal Notifications'.
Within the Internal Notifications accordion in the Application Details section, you will be able to view:
- The recipients of each notification
- The timestamp indicating when the notification was sent
- The type of notification
- The email body that was sent, after clicking on the eye icon
- A counter showing how much time has passed since the first notification was sent:
